BASICS

 

To book your dreamtour packagewith Gallivant Asia, either you can visit our offices or send us the online request on info@gallivantasia.com. To book the tour one needs to be an Adult, who can book the tour for himself and his travel mates or he / she can book a tour on behalf of a minor with full legal responsibilities. The traveler needs to have passport with minimum validity of 6 months from the date of return from the travel destination with last two pages blank. The traveler needs to fulfill foreign currency laws relating to his / her native country as well as the travelling country. The traveler needs to fulfil the requirement for the visa of travelling destination (country), should have travel insurance, medical insurance and any required immunization.

 

 

FOR QUOTATION

 

  • Rates quoted are based on Per Person for currencies like GBP / Euro / USD / SGD / CAD / AUD
  • Should the period of travel, or the number of participants, or the type of accommodation, or the type of transport or the duration of the trip change, the quote will be adjusted accordingly.
  • This is just a quotation no service has been blocked, hence all services (room / vehicle / flight or train tickets / Guide) are subject to availability.
  • We request you to book at earliest so that we can process the booking and try to get you the committed services. If not available will advise you similar category, in case of any variation in hotels / room category difference will be supplement or reduction; OR we may have to reroute the itinerary or accommodate in similar type of accommodation in case of non-availability.
  • Surcharges as and when applicable will be advised and passengers would be requested to pay the same.
  • Hotel, Sightseeing, Meals, Transfers rate might change without any prior notice until & unless it been booked/ confirmed from your end and reconfirmed by us in writing. Even after booking confirmation if any price change happens from the airlines, airport port authority, monument or park entrance fees same will be pass on to you. This is beyond our control and any increase levied will be passed to you. (we will try to give you the supporting which respective authority may have given; this depends on the authority)
  • Please be informed that we are providing our best rate, but we reserve rights to change any rate without any prior notice and we are not liable to accept any claim.
  • Costs are based on the occupancy opted by you (single / Double / triple). Price is generally based on per person as per the occupancy. Single room supplements are offered as per the requirement.
  • At times for small families we do offer “family prices” and whatever will be the case is always clearly mentioned at the end of the tour plan where pricing is mentioned. If you are travelling alone, a single supplement fee or a single occupancy tour price will be applicable.
  • Our online packages are on twin occupancy based on the inclusions, we request you to e-mail us on info@gallivantasia.comfor the prices of single room supplements / more than 03 members / upgraded packages.

 

 

TOUR EXCLUSION

 

  • The points, activities, service & sightseeing which are not mentioned in the inclusions.
  • Any changes during the tour in the Tour Program’s itinerary will or might bring the financial implications.
  • City Tourism Fees / Local Council Fees (depending upon the travel destination) are not part of the package price for any destination as hotel charges the same directly from the guests. Banking fee for payment by bank transfer Indian GST / Taxes. Surcharge for Peak or Festive season.
  • Any additional meals/ en-route meals, sightseeing and activities other than those mentioned in the itinerary. Optional excursions & activities,Any activities suggested in the itinerary are chargeable direct. Early check-in &Late check out, Room Services, Medical insurance, Travel Insurance (we highly recommend that you purchase adequate insurance), Visa, Domestic or international flight (mentioned separately if any), Airport Tax, Guide fees, Porterage, tips, telephone charges, Drinks (All alcoholic and non-alcoholic), laundry, Luggage truck & Porter and all items of personal nature. Monument / Park Entrances unless specified, Camera Fees, Video Camera (if these are included then these are always for single visit).Few services are never part of the inclusion which are Emergency and Medical services(unforeseen eventuality / Natural Calamities / Land Slides / Avalanche / Road Closure / Flight / Train / Bus Cancellation etc)

 

 

 


HOW TO BOOK THE TOUR

  • Sign the tour booking form and email it to us along with copies of following documents.
    • Passports of all travelers
    • Visas (at least 7 days prior of the travel date) in case of visa on arrival this can be ignored. (all travelers)
    • Return flight tickets copy (for all travel members, if not booked by Gallivant Asia)
    • For travelers going on an abroad trip from India will have to share their pan card copies for all applicable members.
  • Simultaneously you need to deposit 40% of the tour price along with Flight amount(if any)
  • Please read and agree on terms and conditions very carefully
  • Rest amount must be deposited 60 days prior to tour commencement.

  • International clients can pay by wire transfer or Credit / Debit Card.
  • Indian clients can pay by wire transfer / Credit Card.
  • Wire transfer / Net Banking :- this facility of for International as well as Indian clients both. You can do IMPS / NEFT / RTGS to following details. The transfer is done then please share the remittance copy to trace the payment. Bank charges will be borne by the travellers.
  • Credit / Debit Card :- this facility of for International as well as Indian clients both. You can get your cards swiped at our office or you can pay online through the process of e-invoice by our Bank links. Bank charges will be borne by the travellers.
  • Cheque / Demand Draft :- this facility is for Indian clients who are residing in India as they can pay by cheque or Demand draft drawn in favour of “SarveshwarAtithya Pvt. Ltd”. Please note cheque is always subject to realisation. Once the cheque / DD is deposited then please share the cheque copy / depositional slip to trace the payment.
  • On the payment of advance / booking amount, SarveshwarAtithya Pvt. Ltd will send you the receipt by email. The receipt of the payment will be treated as confirmation of the payment not the confirmation of the tour services as we will process the booking once SarveshwarAtithya Pvt. Ltd is in the receipt of the payment.
  • In case of international tours for Indian nationals Foreign currency component will be multiplied by the R.O.E. given by us on the day of final payment. Which will be INR 1 plus on xe.com rate of exchange.   
  • The Foreign currency amount is payable as per Company’s rate.

Cancellation

 

Please note that once booking is GUARANTEED, then following cancellation policy will be applied.

  • From the Day of booking till 60 days before tour commencement 40% of the total billing + Flight amount (as per airline’s ticket policy)
  • 59 to 50 days before tour commencement 55% of the tour price + Flight Cancellation Charges (as per airline’s ticket policy)
  • 49 days or less before tour commencement 100% of the tour price including Flight charges

Remark : 

  • For No Show and unused services there will not be any refund.  
  • All cancellations should always be sent by email to avoid any date disputes later.
  • Additionally, clients are subject to any cancellation fees assessed by the purveyors of services including (hotels / airlines / Luxury train / Cruises) used in the itinerary.
  • If cancellation is processed during the tour then there will be no refund of unutilised services.
  • You also confirm that in the case of no deposit being made for a confirmed tour and / or balance not paid before 30 days of the tour commencement (for whatever reasons like the special arrangement could be credit card guarantee, etc.) that gets cancelled, the above will still apply and you would send us the cancellation charges on good trust or the credit card guarantee will be charged. Note that once a tour is cancelled if there is any credit towards the tour booker’s (read client or guest) account then the same is refunded as soon as possible but always within the same financial year (April to March). In the same way if a tour is cancelled and there is a debit in the tour account then the booker (read client or guest) would transfer the balance amount to Gallivant Asia or it’s mother company or acknowledge the credit card guarantee. Travel insurance is strongly advised at all times since we will never be under any circumstances be able to refund the tour cost amount that falls in the purview of this contract.

 

 

Remark

 

Tour Confirmation

  • Tour Package services are subject to full advance, payment to be deposited at the time of booking confirmation.
  • The advance which you have paid to book the tour will be adjusted with the final payment.
  • For any third party product we will be charging additional booking amount during the time of the initial tour confirmation from your end.
  • For any conditional or promotional package full advance payment to book the tour with immediate cancellation policy will be applicable.
  • Bookings for tour program / package booked during the blackout dates (trade fair, events, or festivals) will attract supplement and immediate cancellation. Same will be conveyed to you during the time of booking.
  • We reserve the right to cancel a booking where any payment is not received within 5 days of the due date.
  • The tour operator reserves the right to cancel any departure, and if so done, the client’s deposit will be refunded or transferred to an alternative trip.

 

GENERAL – NOTES

 

Hotel

  • Hotel as mentioned above or similar
  • Standard Check-in time : 1500hrs / Standard Check-out time:  11 noon.
  • All special requests like early check-in, smoking, nonsmoking, views, floors, king, twin, adjoining and/or interconnecting rooms are strictly subject to availability upon arrival and same cannot be guaranteed prior.
  • As a practice most likely all the hotels charge a security deposit via credit card or cash, at the time of check-in for each room. The amount will vary according the hotel and is refunded to the clients upon check-out. Debit cards should not be offered as it will be charged immediately and refunded only after 2-3 weeks. If any additional services or mini bar or any other service is utilized at the hotel, the hotel reserves the right to charge the same on this security deposit provided by the client. Gallivant Asia would not be responsible for these transactions and these are solely between the hotels and the clients.

Transportation for transfers & Sightseeing

  • PVT (Private) : Private tour / transfers means you will not share vehicle with any other group passengers. Guest will have to follow timing strictly as given. Driver will wait max 30 min at Airport upon arrival & max 10 min for all other services. Vehicle will be on point to point basis only as per tour not on disposal. For any additional service guest will have to pay extra. In certain destinations the driver acts like guide whereas in other destination we have a separate licensed English speaking guide for sightseeing services.This service offers you to have your own privacy and convenience to travel at a pre-decided time. The class of the vehicle offered may vary depending on your needs and budget.
  • SIC = Seat in Coach / Sharing : means you will be sharing seat with other guests in the same vehicle. All SIC itineraries are finalized 1 day prior to arrival and may change & intimated to guest upon arrival or during stay. Any changes in itinerary may attract guest to opt for Private Service with extra charges. All SIC service will have a buffer of 15 – 20 mins before or after the given time, request all your guest to be in lobby 15 min prior to given time. Driver will wait max 30 min at Airport upon arrival & max 10 min for all other services. In certain destinations the driver acts like guide whereas in other destination we have a separate licensed English-speaking guide for sightseeing services.
  • Supplement for arrival/departure transfer in Thailand between 1800 – 0830 hrs  | Malaysia & Singapore between 2200 hrs - 0700 hrs
  • All included or optional sightseeing tours are subject to availability.Sightseeing tours are strictly based on whether conditions and also local service providers have rights to cancel the sightseeing tours without prior notice.
  • Transit times between regions indicated on the itinerary are dependent on road & traffic and prevailing weather conditions. As such, they may vary.
  • Timings and description for all included or optional sightseeing tours are tentative

Airline / Train / Cruise / Boat / Ferry

  • We are not responsible for any Airline / Train / Cruise such as fare changes, cancellation in any circumstance chance.
  • Local airfare when shown separately is always separate and not part of the tour cost. In these cases the airfare is also subject to revision by the respective airlines. When no separate airfare is mentioned and the “inclusion list” mentions local flights then the local flights are part of the tour cost.
  • If there is any change in the government, airlines, train policies of the respective country (even after confirmation, this happens very rare but we will present the supporting documents).
  • If there is any rescheduling, customer has to bear the fare difference (regardless of whether the component is in the base fare or in tax + surcharge) and other rescheduling fees.

General Permissions

  • All bookings are accepted and executed with utmost care, yet Gallivant Asia and its associates, will have no responsibility for any accident, damage and blockade of road because of landslides, cancellation of flights due to technical problems and weather condition, loss, delay or any inconvenience caused, changes or deviation of itinerary on account of factors beyond our control. The above offer is under the Jurisdiction of Jaipur courts
  • Please be advised that the use of Unmanned Aerial Vehicles (Drones) is allowed only after obtaining permit from the relevant authorities.
  • Complaints procedure: Gallivant Asia will act as an intermediary between the clients and other service suppliers related to the tour, in the event of any complaint. Complaint must be in writing and within 10 days of return to clients’ original destination. 
  • In case either party suffers force majeure circumstances (that are unforeseen, inevitable and uncontrollable), such as strikes, closing of frontiers, ports and airports, bad weather, delays in departures and arrivals of the means of transportation, accidents and all services provided by a third Party, as a result of which the obligations under the present agreement cannot be fulfilled the parties shall be exonerated from their obligations without having to pay compensation for the damage caused to the other party.
